Administration
- Responsible for smooth day to day operations and the creditability of all outputs provided. This will include all aspects of IT support, the general working environment re office equipment.
- Undertake all executive support work required by the head of the departments to help discharge his duties efficiently and effectively.
- First point of contact for all enquiries relating to administrative and support matters for the Department.
- Maintain daily appointments, receive clients, collaborators, guests and/or trainers and ensure that they are comfortable while waiting to meet the head of the departments or any related staff.
- Initiate and manage all general business correspondence e.g. emails, letters, reports, legal documentation, faxes (if any). Control and manage the distribution of all business sensitive or confidential material for the heads.
- Prepare presentations and supporting papers to support delivery of information required. Undertake additional responsibilities from the team to support in their day-to-day work, when required.
- Undertake any special projects for the departments’ teams.
- Booking of hotels, flights, transport, travel plan itineraries for overseas and local business trips for the CWO or collaborators/guests
Policies, Systems, Processes, and Procedures
- Follow all relevant policies, processes, standard operating procedures from FAB and SOPs from the CWO and instructions so that work is carried out in a controlled and consistent manner.
MIS and Reports
- Ensure that any requested reports are prepared in a timely and accurate manner, and meet Group requirements, policies and quality standards.
- Ensure morning and end of the day reports through a specific format.
Additional Software
- Be willing to learn additional softwares if necessary for the correct deployment of Wellness initiatives and activations knowing that accurate and personalized training will be provided.
Specific Accountability
- Act as backup support for designated CWO in his absence. Aiming for holidays to be taken at different timings.
- Ensuring effective housekeeping of the CWO office facilities in accordance with established quality guidelines.
- Participate in department projects re Wellness Department engagement, culture & values.
- Ensure help and assistance in the recruitment of Wellness ambassadors within FAB under the guidance of the CWO.
Qualifications
Minimum Qualification
- Bachelor’s degree in business administration, Management, or any related discipline.
Knowledge, Skills, and Attributes:
- Good working experience track record
- Practical experience through a personal wellness journey
- Excellent inter-personal and communication skills (both written and oral)
- Excellent planning and organizational skills to meet deadlines at all times
- Well verse with computer related skills and knowledge of other office equipment
- Confident and must have the ability to work without supervision
- Ability to address client enquiries and to receive VIP clients.
Minimum Experience
5 years of experience in an administrative role supporting senior executive.
Additional Information
To provide support to the Head of departments by performing relative office management and administrative duties to ensure smooth operations. In addition, the job holder will handle meetings and travel arrangements for the CWO and/or collaborators.
