The Role:
As the Assistant to the CEO of Qima Coffee, you will play a critical role in
supporting the CEO in their day-to-day activities and strategic initiatives. Your dedication,
professionalism, and attention to detail will contribute to the overall success and
effectiveness of our organization as we continue to grow and make a positive impact in the
coffee industry. Your research contributions into specified projects/areas will provide
valuable insights to support the CEO in special projects and drive our mission forward.
Location: The position will be based in Amman, Jordan, with potential future relocation to
the UK.
Salary: 1000 - 1300 JD/month
Key Responsibilities:
1. Executive Support:
- Provide high-level administrative support to the CEO, including managing schedules,
coordinating meetings, and handling correspondence.
- Act as a liaison between the CEO and internal/external stakeholders, ensuring effective
communication and follow-up on action items.
- Prepare and edit documents, presentations, and reports for the CEO, maintaining accuracy
and confidentiality at all times.
2. Office Management:
- Oversee office operations and ensure a smooth workflow, including managing office
supplies, equipment, and facilities.
- Coordinate travel arrangements and logistics for the CEO, including transportation,
accommodations, and itinerary planning.
- Maintain organized filing systems, both physical and electronic, to ensure easy access to
important documents and information.
3. Project Coordination:
- Assist the CEO in managing various projects and initiatives, tracking progress, and ensuring
timely completion of tasks.
- Conduct research and gather information as needed to support decision-making and
strategic planning efforts.
- Carry out research work into specified projects/areas to support the CEO in special
projects, providing insights and recommendations to drive project success.
4. Communication and Relationship Management:
- Serve as a primary point of contact for internal and external inquiries directed to the CEO,
demonstrating professionalism and responsiveness in all interactions.
- Build and maintain positive relationships with key stakeholders, including clients, partners,
and suppliers, on behalf of the CEO.
- Prepare meeting agendas, take minutes, and follow up on action items to ensure effective
communication and alignment across the organization.
5. Special Projects and Initiatives:
- Take on special projects and initiatives as assigned by the CEO, demonstrating flexibility,
adaptability, and a willingness to learn.
- Contribute to the development and implementation of organizational goals and objectives,
leveraging insights and ideas to drive continuous improvement.
Qualifications:
- Fluent in English Language
Bachelor's degree in Business Administration, Communications, or related field (preferred).
- Proven experience as an CEO assistant or similar role, supporting C-suite executives in
a fast-paced environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and
manage multiple deadlines effectively.
- Strong communication skills, both verbal and written, with a keen attention to detail and
accuracy.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Discretion and confidentiality when handling sensitive information and confidential
matters.
- Ability to work independently with minimal supervision while also functioning effectively
as part of a team.
