Job Description

The Project Assistant will provide comprehensive support to the Chief of Party (COP), Deputy Chief of Party, Design Manager, and the Jordan BWI project team. This role involves a combination of logistical, operational, administrative, and technical assistance to ensure the efficient operation of the project and the effective delivery of project objectives. The Project Assistant will play a crucial role in supporting daily tasks, including supporting coordination with project teams, communication with stakeholders, and management of project documentation. This role will work in a multi-disciplinary and cross-cultural work environment, closely coordinating with team members in Jordan and throughout the firm in supporting the design of water and wastewater projects throughout Jordan.

Responsibilities

- Assist the project management team and task leaders in executing project-specific tasks including reviewing and formatting reports and memoranda, organizing documents, maintaining records and any other project tasks that will help the management team achieve project objectives.

- Format reports and memoranda to adhere to USAID branding and marking requirements.

- Review documents for English grammatical errors, typos, and formatting inconsistencies before final submission or distribution.

- Compose, review, and send letters and other communications under the direction of BWI project leadership.

- Coordinate with the management team and task leaders to track internal and external deliverables and provide reminders at appropriate times.

- Create and maintain Excel-based files to track project timelines, deliverables, and communications.

- Organize and maintain document control activities including document storage, management, tracking, and reporting.

- Coordinate with the project management team and task leaders to schedule internal quality control and assurance checks in accordance with CDM Smith policies.

- Support the COP, DCOP and Design Manager in organizing and preparing for meetings including gathering documents and coordinating logistics with support from the Administrative or Marketing teams as appropriate.

- Provide other general project support duties as assigned by the Chief of Party.

Minimum Qualifications

- Bachelor’s degree in management, business, or related field.

- Minimum 5 years of relevant experience in supporting a dynamic project team.

- Excellent written, editing, proofreading, and oral communication skills in English and Arabic.

- Prior experience working at a multinational organization or with an engineering consulting firm.

- Demonstrated success in fast-paced, dynamic project environment. Ability to work across various roles and teams in a dynamic, demanding, and fast-paced environment while remaining flexible, proactive, resourceful, and efficient.

- Strong time management skills and ability to multitask and organize and coordinate multiple concurrent projects.

- Previous experience in developing internal processes and filing systems.

- Strong communication, interpersonal, and organizational skills.

- Excellent computer skills including in Microsoft office.

- Must be a Jordanian citizen or have legal work authorization to work in Jordan.
