Job Description
- Records Management: Develop and implement records management policies, procedures, and systems to ensure the efficient and effective management of records throughout their lifecycle. This includes establishing filing systems, retention schedules, and disposal processes in compliance with legal and regulatory requirements.
- Document Collection and Organization: Receive, assess, and organize incoming documents and records, both physical and electronic. Classify and categorize documents based on their content, type, and relevance. Develop and maintain an organized and accessible archive of records.
- Preservation and Conservation: Implement strategies for the preservation, protection, and conservation of archival materials. Ensure proper storage conditions, such as temperature, humidity, and lighting, to prevent deterioration and damage. Coordinate with relevant stakeholders to identify and address preservation needs.
- Access and Retrieval: Establish procedures and systems for the efficient retrieval and access of archived documents and records. Develop indexing and cataloging methods to facilitate easy searching and retrieval. Respond to requests for records and provide appropriate access while ensuring confidentiality and data security.
- Digitization and Electronic Document Management: Develop and implement strategies for digitizing physical records and managing electronic documents. Oversee the scanning and indexing of documents, ensuring their proper storage, retrieval, and accessibility in electronic form.
- Compliance and Legal Requirements: Stay updated on relevant laws, regulations, and standards related to records management, data protection, and privacy. Ensure compliance with legal and regulatory requirements, such as data retention, privacy, and disclosure obligations.
The Successful Applicant
- Bachelor's degree in library science, information management, archival studies, records management, or a related field
- Experience in Records and Archives: Previous experience working in a records management, archives, or related role is valuable. Experience with document classification, retention scheduling, archival arrangement, and preservation techniques is advantageous.
- Organization and Attention to Detail: Strong organizational skills, attention to detail, and the ability to manage large volumes of information accurately and efficiently
