The role.

What will my responsibilities be?

PRO (Public Relations officer) to handle all company documents (such as commercial registration trade license, etc.) with relevant governmental authorities, and ministries. PRO is responsible for applying and or renewal of such documents, and any other necessary activities.

PRO to handle gate passes in industrial areas RLIC, MIC and other industrial facilities. PRO owns and is responsible for the complete process of preparing and applying gate passes for the team, visitors , and other service engineers.

Support Business activities such as:

  • Collect and submit documents (Tenders, letters, envelopes), gift items, etc...
  • Logistics support as required including help with customs material clearance.

Support existing contracts & project sites requirements such as:

  • responsible for the PPE (Personal Protective Equipment), for the complete procurement process including identifying the requirements, placing the order, pick the items and handover to the team.
  • Arranging necessary Business Visas, gate passes, site Badges for the engineers, subcontractors, management based on project needs given by resources manager, site manager, etc. in timely manner.
  • Keeping and maintaining a record of Service engineers’ status (visa renewal date, driving licenses, RP status, valid access badges to which site, which engineer can attend which site based on his RP, gate pass, training valid badges ...etc.)
  • Arrange booking of Accommodation, Car rental, transportation of service engineers as required.
  • Keeps and maintain a record of all assets such as tools, pick-up, Ex-phones etc. as well as being responsible for keeping them in a good usable condition by getting offers for repair / purchase / calibration of tools, and regular check and calibration of tools.

Support administrative tasks such as:

  • Apply for the internal e-forms for team’s expense claims and allowances and as required.
  • Check for correctness of team’s expenses and allowances in comparison to team’s timesheets.
  • Raising internal IT tickets as required.
  • Book Air tickets and hotels through approved processes such as BCD and concur. However, he needs also to check websites for flight alternatives to double check.

Support Company Vendor and Branding registration activities

  • Owns the complete process.
  • Fill necessary forms.
  • Follow-up with customers for approvals

What do I need to qualify for this job?

  • Independent and self-motivated Male with good Ownership culture.
  • Excellent communication skills, strong command of Arabic & English Languages (Speaking, Writing, Listening) and preferably native Arabic speaker.
  • Be able to coordinate and liaise with vendors, suppliers, sub-contractors etc.
  • Manage and keep good track of assigned tasks till closure of it appropriately.
  • Min. 5 years of experience with gate passes and PRO work, preferably with multinationals.
  • Driver’s license and willingness to be flexible to go to sites.
  • Good working knowledge with MS Office.
  • Must have Degree from a recognized institution.
