Job Overview
We are seeking an experienced and highly organized Executive Secretary to provide administrative support to our senior executives. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to ensure the smooth operation of executive activities. This role requires excellent communication skills, discretion, and the ability to work independently.
Key Responsibilities
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Coordinate and organize meetings, conferences, and events, including preparing agendas and taking minutes.
- Maintain confidential and sensitive information with discretion and professionalism.
- Conduct research and compile data to assist executives in decision-making processes.
- Manage office supplies and equipment for the executive office.
- Liaise with internal and external stakeholders on behalf of the executives.
- Provide general administrative support to the executive team as needed.
- Assist with special projects and tasks as assigned by executives.
Qualifications
- Proven experience as an Executive Secretary, Executive Assistant, or in a similar administrative role.
- Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- High level of professionalism and discretion in handling confidential information.
- Strong attention to detail and problem-solving skills.
- Bachelor’s degree in business administration or a related field is preferred.
- Additional certification as an administrative professional or executive assistant is a plus.
