Senior Education Officer

Senior Education Officer works closely with the Associate Dean to develop and operationalize strategic initiatives of the centre. Supervises educational coordination between medical students, faculty, administrative staff, and our university partners for the smooth running of the medical student education program.

Responsibilities


  • Coordinates and supports the Associate Dean by scheduling meetings, providing agendas and completing minutes, developing reports relevant to the medical student education program, implementing policies.
  • Participate in a range of project items to implement/reform strategies by understanding and ensuring compliance with the policies that impact on initiatives.
  • Demonstrates a high level commitment in developing the best approach to implement strategies that contribute to improvement.
  • Develops a time-line for the annual cycle of all medical student education activities
  • Prepares educational material and documents for the students.
  • Supervises daily conference schedules, didactic activities, grand rounds and evaluations like OSCEs, DOCEEs etc.
  • Liaise, consult and collaborate with internal and external stakeholders to provide best possible educational outcomes
  • Provides support and information to medical students on a variety of issues related to the educational programs
  • Maintains a systemic file system with medical student information and program records
  • Manages a computerized data system (New Accreditation Data System- ADS or equivalent)
  • Maintains a record of all attendance record of the students.
  • Monitors and documents the evaluations- mid-point and at the end of each course/clerkship.
  • Assists the clerkship/course directors in the orientation of the medical students to the clerkship.
  • Monitors the coordination and distribution of medical students’ activities and schedules with the course director and preceptors
  • Assists the course directors in preparation of the course files
  • Participates in audits
  • Provides full administrative support to the Associate Deans
  • Participates in the MSE (Subcommittee and Clerkship directors) committees, and is responsible for documentation of meeting minutes
  • Demonstrates awareness of program goals and objectives.
  • Develops a good knowledge of the Medical student education program of the affiliated institutions.
  • Develops a good knowledge of the terminology used in the programs.
  • Understands and effectively communicates opportunities for improvement by innovating and redesigning systems in an efficient way to help enhance the medical student education program/outcomes

Role-Specific Job Responsibilities


  • Oversee the use of technology for program operations, such as video conferencing technology, presentation software and other communication technologies, for instance
  • Create and maintain course records, reports, presentations and proposals
  • Facilitate positive relations between the clerkship team, other departments within the organization, and all other involved parties
  • Ensuring all medical education courses are on schedule, within stated budgets and functioning smoothly.

Educational Qualification:
  • Required:
    • Bachelor or Master’s Degree in related fields
  • Desired:
    • Bachelor or Master’s Degree

Specialist Certifications:
  • Required:
    • Education Administrative Coordinator
  • Desired:
    • Proficiency in education administration

Experience:
  • Required
    • Minimum of 3-5 years of office administration experience, preferably in a healthcare and/or education setting.
  • Desired:
    • Proficiency in performing healthcare administration tasks i.e. budgeting and scheduling
    • Proficiency in software applications including Microsoft Word, Excel, and PowerPoint and Visio.
    • Interprets and applies ACGME-I, other national accrediting agencies, and hospital policies to support compliance.
