Overview:
We are looking for a highly organized and detail-oriented individual to join our team as an Admin Cum Reservations staff. This dual-role position will involve handling administrative tasks and overseeing the listing and management of properties on various booking platforms. The ideal candidate will be responsible for ensuring smooth daily operations while assisting in generating and maintaining reports for the team.
Key Responsibilities:
- Property Listings & Reservations Management:
- List and update property details, availability, pricing, and images on multiple booking platforms (e.g., Airbnb, Booking.com, Vrbo, etc.).
- Ensure the accuracy and completeness of property information across all platforms.
- Monitor reservations and booking confirmations, ensuring timely responses to inquiries.
- Coordinate with property owners and clients regarding booking changes, cancellations, and requests.
- Assist in optimizing listings for better visibility and performance on each platform.
- Administrative Duties:
- Manage daily administrative tasks, including answering emails, phone calls, and responding to inquiries.
- Maintain organized records and files for properties, bookings, and correspondence.
- Process invoices, receipts, and other financial documents related to reservations and payments.
- Coordinate with housekeeping, maintenance, or other departments for smooth property operations.
- Perform data entry and maintain the property's booking calendar.
- Reporting & Data Management:
- Prepare and submit monthly reports on property performance, bookings, revenue, and occupancy rates.
- Analyse trends in booking data to recommend pricing adjustments and promotional offers.
- Track and monitor payments, refunds, and cancellations, ensuring all financials are recorded accurately.
- Assist in generating reports for management and stakeholders, ensuring key metrics are met.
- Customer Service & Communication:
- Provide exceptional customer service to guests and property owners, resolving issues promptly and professionally.
- Handle guest complaints, requests, and special needs in a timely and efficient manner.
- Ensure a positive guest experience through effective communication and support.
- Additional Tasks:
- Assist in marketing efforts, including social media, email campaigns, and other promotional activities as needed.
- Stay up-to-date on changes and trends in the vacation rental industry and booking platforms.
- Support other team members with various tasks as needed.
Skills & Qualifications:
- Previous experience in administration, reservations, or customer service roles is preferred.
- Familiarity with booking platforms (Airbnb, Booking.com, etc.) and property management software is a plus.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple tasks efficiently.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- A proactive attitude and the ability to work in a fast-paced environment.
Education & Experience:
- High school diploma or equivalent (required).
- A degree in business administration, hospitality, or a related field (preferred).
- Prior experience in property management or customer service (preferred).
