About The Role

This role is responsible for managing calendars, organizing meetings, handling correspondence, and supporting administrative tasks to optimize time management and productivity. Additionally, the Admin & Personal Assistant oversees office management duties, coordinates travel and events, and provides personal assistance, including handling medical insurance and personal errands, in order to ensure that all tasks are completed efficiently and accurately.

What You Will Work On

  • Manage Executive Schedules: Ensure that all meetings, appointments are coordinated smoothly, manage executives emails, letters, and phone calls on behalf of the executive in order to ensure that all communication is professional, timely, and organized to optimize the executive's time and productivity.
  • Coordinate Meetings: Attend and document key points from meetings, distribute minutes, and track action items in order to ensure that follow-up tasks are completed, and all stakeholders are informed.
  • Prepare Documents and Reports: Ensure that all necessary documents, presentations, and reports are accurately prepared and organized in order to meet deadlines and support decision-making.
  • Coordinate Travel and Events: Ensure that travel arrangements, event bookings, and itineraries are planned and managed in order to avoid scheduling conflicts and ensure seamless execution.
  • Organize and Maintain Office Systems: Manage filing systems, both digital and physical, to ensure that important documents are easily accessible and organized.
  • Social Media Management: Oversee and manage the company’s social media accounts in order to ensure that online content aligns with the brand's identity and engage with the audience effectively.
  • Recognition and Retention Activities: Assist in organizing basic employee recognition and retention activities in order to ensure that team morale and engagement are maintained.
  • Manage Office Supplies and Inventory: Oversee office supplies and equipment, including placing orders and coordinating maintenance, in order to ensure that the office operates efficiently and without disruptions.
  • Coordinate with Internal and External Stakeholders: Act as a liaison between the executive and internal teams or external contacts such as Medical Insurance and other external stakeholders in order to ensure that communication flows smoothly and meetings are coordinated effectively.
  • Support Personal Errands and Tasks: Assist the executive with personal tasks such as booking appointments, handling personal correspondence, coordinating with household staff, and running errands in order to ensure that they can focus on professional responsibilities.

Your Areas Of Expertise

  • Must have a High School Diploma or Equivalent.
  • Must Have a minimum of 2 years of Administrative Support Experience.
  • Proficiency in Microsoft Office Suite; Microsoft Word, Excel, PowerPoint, and Outlook for document preparation, scheduling, and communication. Advanced knowledge in these programs is often required.
  • Ability to work under pressure, plan personal workload effectively, and delegate.
  • Proven ability to prioritize tasks, manage multiple responsibilities, and meet deadlines efficiently.
  • Ability to handle sensitive information, especially when dealing with personal tasks or executive-level information.
  • Strong verbal, written, analytical, persuasion and interpersonal skills.
  • Proficiency in both English and Arabic Languages.
  • Nice to have training in Project Management.
