Role Description

This is a full-time on-site role for an Exhaustive Assistant at Shepherd Technologies. The Exhaustive Assistant will be responsible for tracking attendance, managing timesheets and expenses, delegating tasks, handling project and resource management, administering benefits, ensuring compliance, and more.


Job Responsibilities:

Calendar Management

  • Schedule and manage appointments, meetings, and travel arrangements for executives or team members.
  • Coordinate meeting logistics, including venue selection and technology setup.

Communication Handling

  • Serve as the primary point of contact for incoming calls and emails, responding promptly and professionally.
  • Draft, format, and proofread correspondence and other communications.

Document Preparation

  • Create, edit, and maintain documents, presentations, and reports using various software applications.
  • Organize and manage files, ensuring easy access and retrieval of information.

Data Entry and Management

  • Input and maintain data in databases, spreadsheets, and other tracking systems.
  • Assist with data analysis and prepare summaries or reports as needed.

Office Management

  • Manage office supplies inventory, ordering as necessary to ensure smooth operations.
  • Liaise with vendors and service providers to coordinate office maintenance and services.

Event Planning

  • Assist in planning and coordinating company events, meetings, and conferences.
  • Organize logistics such as catering, transportation, and accommodations.

Research and Reporting

  • Conduct research on various topics as required, summarizing findings for management.
  • Prepare reports and presentations based on data and insights gathered.

Project Coordination

  • Assist in coordinating projects, tracking progress, and ensuring deadlines are met.
  • Communicate with team members and stakeholders to facilitate project updates.

Confidentiality and Professionalism

  • Handle sensitive information with discretion and maintain confidentiality at all times.
  • Represent the company in a professional manner, both in-person and in communications.


Qualifications

  • Strong organizational and time management skills
  • Experience with task delegation and project management
  • Knowledge of HR processes and compliance
  • Excellent communication and interpersonal abilities
  • Proficiency in data entry and record-keeping
  • Ability to work effectively in a team environment
  • Bachelor's degree in Human Resources, Business Administration, or related field
  • Experience with talent management software is a plus
