Executive Assistant

Responsibilities Include

  • Supporting VIP/ donor relations and networking.
  • Acting as a first point of contact for the Director: screening correspondence and phone calls, determining and implementing actions required and, where appropriate, replying on behalf of the Director.
  • Calendar management: scheduling meetings in Jordan and abroad.
  • Travel Coordination: Arrange travel plans, accommodations, and itineraries for the

Director and occasionally for other team members. Process travel-related expenses in a timely manner.

  • Preparing and following up on meetings (briefings, agendas, presentations and materials).
  • Coordinating board and staff meetings.
  • Undertaking preparatory duties for conferences and events.
  • Taking meeting minutes and preparing letters as requested.
  • Managing CRM/ contacts databases, Media and Social Media.

Sub-duties

  • Primary Information Account: Oversee the organization's primary information account, ensuring accurate and timely dissemination of key updates and communications.
  • Internship Program: Manage the organization's internship program. Coordinate the recruitment process, screening applications and conducting interviews. Facilitate onboarding and orientation for interns and provide ongoing support throughout their tenure.

Job Qualifications And Competencies

  • Bachelor's degree in business administration, communications, or a related field.
  • Proven experience as an assistant or in a similar role, preferably in the nonprofit sector.
  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication skills in English and Arabic; fluency in other languages a plus.
  • Proficiency in MS Office Suite and other relevant software.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Highly motivated, and committed to the highest ethical standards.
